Extra work is easy to do. Proving it later isn't.

  1. Client requests extra work
  2. Team completes the work
  3. Details are buried in WhatsApp, email or memory
  4. Invoice arrives weeks later
  5. Client disputes the variation

ProofPay creates a clear record from instruction to invoice.

From site instruction to invoice.

1

Record it

Capture the extra work while you're still on site.

  • Description
  • Who requested it
  • Date and time
  • Location
  • Photos
2

Price it

Turn the site instruction into a proper variation.

  • Labour
  • Materials
  • Plant
  • Subcontractors
  • Markup
  • VAT
3

Get it approved

Send the client a secure approval link.

  • No ProofPay account needed for the client
4

Prove it

Upload completion photos and notes when the work is finished.

  • Before and after photos
  • Completion notes
5

Invoice it

Add approved and completed variations to an invoice.

  • Each line still linked to its evidence

Get approval before it becomes a dispute.

You send one secure link. The client sees the priced variation exactly as you built it and records a decision against that price — approve, request changes or reject.

  • No client login, no app, no attachment to lose
  • The decision is recorded against the exact version and total
  • Change the price afterwards and it needs approving again

Price extra work properly

Build clear variations with labour, materials, plant, markup and VAT all recorded in one place.

Totals are recalculated on the server on every save — browser values are never trusted.

Know exactly what the client approved

Every approval is tied to the exact price and version the client saw. If the price changes, new approval is required.

Immutable variation versions; an approval never carries over to a re-priced version.

Keep a complete history

See when work was recorded, priced, approved, completed and invoiced.

Append-only audit trail per project — entries are written, never edited.

Evidence stored with the variation

Photos from the site camera stay attached to the instruction and the completion record.

Private file storage with short-lived signed links; no public URLs.

Built for subcontractors. Priced for subcontractors.

Your project information matters.

Secure login

Accounts are protected by email and password authentication with email verification and password reset.

Company-separated data

Projects, variations, evidence and invoices belong to your company. Access is checked per company membership on every request.

Controlled approval links

Client approval links use long, unguessable tokens and expose only the variation they were issued for.

Secure file uploads

Contracts and completion photos are stored in private buckets and served through short-lived signed links, never public URLs.

Server-side access controls

Permissions and pricing maths are enforced on the server with database row-level security, not in the browser.

Account and data deletion

You can delete your account from Settings. This removes your account and cancels any active subscription.

Built around one expensive construction problem.

Extra work often gets requested verbally, completed quickly and argued about later. ProofPay gives subcontractors a simple way to document the instruction, agree the value, capture approval and keep the evidence together before invoicing.

Questions subcontractors ask

Your next variation shouldn't live in WhatsApp.

Record it. Price it. Get it approved. Prove it. Invoice it.
